How do I track money I paid upfront for someone else?

Sometimes you pay first and get paid back later: a client lunch your company will cover, or a friend's dinner they'll send you money for.

1. Mark it when you add it. On Add expense, tap No reimburse so it changes to Reimbursable. A second chip appears:

  • Not my spending (the default): it's not your money, you're just fronting it. It stays out of your reports and budgets while you wait.
  • Counts as my spending: tap to switch, if you'd rather your reports show everything that left your pocket.

Either way, the account you paid from goes down straight away, because the money really left.

2. See what you're waiting for. On the Wallet tab, tap Reimburse (Claimable) to open To be reimbursed. Search also has a Reimbursable shortcut.

3. When the money comes back: tick the expenses that were paid, then tap Mark as reimbursed. Enter how much you got back and the account it went into, then Save.

  • All of it back: the money goes into your account. It isn't counted as income, because it's your own money coming back.
  • Only part back: the rest becomes your spending, in the same category, on the day you mark it. Example: you paid ₱1,000 for Sam's dinner and Sam sends ₱800, so ₱200 counts as your Food spending.
  • More than you paid: the extra counts as income.

Not getting it back? Tick the expenses and tap Not getting this back. The full amount then counts as your spending from today.

Made a mistake? Open the record the reimbursement created (e.g. "Reimbursed · …" or "Not paid back · …") and delete it. NEXO asks Undo this reimbursement? and puts the expenses back on your list.

For a work claim: go to Settings → Export data and turn on Reimbursable only to export everything still waiting to be paid back.

Reimbursements are for your own records. For costs you share with someone regularly, a shared space or a debt may suit better.
